Extension of the nomination and application deadline for incoming students for the winter semester 2020/2021 - The Pontifical University of John Paul II in Krakow

Dear Partner,

On behalf of ​The Centre for Scientific Research and International Cooperation of The Pontifical University of John Paul II in Krakow, we would like to thank you for your continued support and cooperation in the frame of the Erasmus+ exchange programme.

The time has come to inform and remind you about the application procedure and possibilities for exchange studies for your students wishing to participate in the Erasmus+ mobility at The Pontifical University of John Paul II in Krakow (PL KRAKÓW 08) during the next academic year 2020/2021

Nominations:  June 15, 2020 (autumn semester/academic year) November 30, 2020 (summer semester)

The nomination should be sent to by your International office/Institutional Erasmus coordinator in this format:
1. First name as it appears in the passport
2. Last name as it appears in the passport
3. Student’s email address
4. Semester/s student is nominated for
5. The official name of home university
6. Field/s and level of study

After having received the nomination we will send an email with all necessary implication information to accepted students.

Nomination deadlines:
15th June 2020 for the winter semester / whole academic year
30th November 2020 for the summer semester

The deadline for documents sent to our IRO are as follows:
-      July 15, 2020 (for Semester 1 or the whole academic year)
-      January 15, 2020 (for Semester 2)

Application Procedures:
to be completed until 15 July (first-semester students) or 15 January (second-semester students).

Although on July 15th 2020  is the final document deadline for send recruitment documents to the address below. Please send us via post (not e-mail) at the address below only those documents together:

2. Learning Agreement for Study (a form where 3 parties  - the student, the host university, and home university - agree on the courses and duration of the mobility. LA has to be signed before the beginning of exchange studies and it is a prerequisite for scholarship contract and grant payment.
Commitment. Signatures are to be gathered from (1) the student, (2) Erasmus Institutional/ Departmental Coordinator, (3) responsible person at the hosting university. 

When duly signed, the Learning Agreement should also be sent to our University to address below:

"Nominations" 2020/2021 (winter or summer semester).

Nevertheless, and due to the Covid-19 situation, we will be flexible if your University needs an extension of the deadline. We expect an official student nomination from your university by e-mail erasmus@upjp2.edu.pl including detailed information about the student (name, surname, e-mail, date of birth, nationality, university, study area, study cycle, study period). Then we send specific application information directly to nominated students. As you all probably know, using the Online Learning Agreement in the online system Erasmus+ Dashboard will be obligatory for all the Erasmus+ Programme countries soon. These days, we are trying to put the use of the system into practice so we would like to kindly ask you for your support and cooperation with the nomination of your students also in the above-mentioned system. Before you can nominate the Erasmus students to any program country university, you need to ask for access to the Erasmus+ Dashboard at https://www.erasmus-dashboard.eu/intro.

Along with the OLA completed and signed in the Erasmus+ Dashboard, students are required to fill in the application form, attach the transcript of records (IN ENGLISH), and other documents. Please find more information on the documents at http://oldwww.upjp2.edu.pl/erasmus/admission-procedures

If you wish to study at UPJPII under Erasmus+ programme, firstly check with your home university if it has an agreement with a particular faculty or department at UPJPII. Then you should follow the nomination selection process at your home university, so please contact your coordinators for more information. If your nomination is accepted by us, it does not mean that you as a student are accepted at UPJPII. There are several steps you have to go through in order to receive an acceptance letter.


Exchange students are expected to:

  • be nominated by the international mobility coordinator at their home university

  • have completed at least one year of university studies

  • have a good command of English, B1 of CEFR or higher;

  • be nominated within the deadlines: 15 May (autumn semester all full year) and 15 October (spring semester)

You are eligible to be accepted by our University when:

1. you are nominated by the home university via our online nomination system;
2. you submit all application documents needed;
3. you present evidence of proficiency in English which must correspond to B2 level of CEFR or higher;
4. you choose courses in a minimum number of at least 20 ETCS each semester.

Nominations, Application Forms
All students have to be nominated by e-mail (erasmus@upjp2.edu.pl) by their Home University.




Regards to important information of incoming students: nomination should be sent to us in this format:
- student´s name and surname
- his/her field of study
- current year and level of study
- intended semester of mobility
- date of birth
- ID number or passport  
-  e-mail address.
Changes to the learning agreement: 
Autumn: 30 October
Spring: 15 March
Please remember that both forms: Application and Learning Agreement must be printed out, signed by you and Erasmus Coordinators of Home University and upload to your account together with the copy of your passport (or other identity document with photograph) and English knowledge confirmation (it should be FCE or any equivalent of this exam or other confirmation from Erasmus Coordinator, required level B2).

1. The Application. After the nomination is submitted you will receive an information e-mail with the web link to reach your online application. Then you can fill in the application. See the deadlines in the right block. Please watch the deadline for application, the later application will not be accepted. (Please note that Polish Breakthrough Course (A1) is changed for basic Polish Course (A1) during the semester.  Erasmus students have the option of attending to the basic polish course however this course is not obligatory). Please click on contact if you have questions regarding your application.
2. Application form duly should be signed and stamped by you and coordinators at your Home University.
3. Learning Agreement  (duly signed and stamped by you and coordinators at your Home University). Please note that you must prepare your Learning Agreement during the application process. The academic advisor for approving your Learning Agreement at our University is the Department Erasmus Coordinator. Required to be contact signed by Department Erasmus Coordinator.
4. Transcript of records, the only copy of this document (Transcript of Records (ToR) consists basically of a list of the course units taken, the exams you have passed and the credits gained in your university).
5. Copy of the identity document  (personal ID Card or Passport).
6. Copy of the EHIC - European Health Card (TEAM) for sanitary assistance, (before departing for Poland check whether there is an agreement with Poland regarding free health services, like the E111 form, etc.), proof of your Erasmus status indicating the length of your stay).

-Students can choose to scan their application form and send it via e-mail first, to speed up the process and send the form via general post afterward, but a copy of it should always be kept for personal records.
for the Learning Agreement: Students are expected to make copies of LA (scanned/copy version of the documents are accepted). Students must have the final version duly signed when they return from their exchange.

-We advise you to use your desktop, laptop or tablet computer and not your smartphone when completing your application.

-Exchange students are not required to pay the application fee!

-Do not forget to bring with you 17 PLN (złoty) for your Student ID Card.

Before you start to fill in the Application Form and the Learning Agreement, please prepare:

1. list of proposed courses chosen by you and accepted by your university - Study Program (Learning Agreement - LA) with codes of the courses, ECTS number and semester when each course takes part;
2. passport photo corresponding to documents - for your student ID Card (only jpg, jpeg, png, bmp format);
3. scan of Transcript of Records (TR) duly signed and stamped by your university (jpg or pdf file). This is a document (with stamps and signatures of the authorities of your university), which proves your marks and grades collected so far at your Home University;
4. scan of your Personal ID Card (both sides) or your Passport with pages with name and photo (the Passport is necessary for students from non-UE countries) (jpg or pdf file);
5. scan of the Transcript of Records and scan of the Personal ID Card/Passport, should be packed as one zip or rar file!!! max 1 MB for the photo (jpg etc. files).

Erasmus+ students have to be registered:
Application Process
For the qualification of their home institution. The Erasmus Coordinator in your own university will select students to come to the UPJPII according to prearranged exchange agreements in predetermined subject areas. Once you have been nominated you must complete an application form. A passport photo, the copy of your EIHC (health insurance) must accompany your application form. The Application Form must be returned to the Erasmus+ Institutional Coordinator by the appropriate deadline. You should ensure that the Erasmus Coordinator at your own university also signs the Application Form.

Closing Date for Applications
Erasmus+ Application Forms must be sent to the UPJPII no later than:
- July 15th (winter-fall)
When your application has been approved (and probably some weeks after the deadline mentioned above), you will receive a confirmation of acceptance from the Erasmus+ Institutional Coordinator. If, for some reason, you are unable to avail of your study place at UPJPII please advise the Erasmus+ Institutional Coordinator in writing as soon as possible. 

After you upload all your application documents, your Learning agreement (LA) will be sent for approval to the department. As soon as your LA is approved we will send it to you by e-mail together with the acceptance letter (visa students will additionally receive other important documents – originals for applying for the visa by post). Then you will have to wait for our instruction e-mails which we will start sending them in the late July/late November.


After your arrival in Cracow, every student is obliged to come for admission, which includes compulsory registration. During admission, there will be a short presentation about the study and administrative issues that are important for you to arrange and manage at the beginning of your studies at UPJPII University. You will further be given a registration folder with important documents. All the incoming students need to have their arrival certificate signed and stamped as soon as they arrive at UPJPII. That is very important in order to attest that the mobility period has begun and to receive the Erasmus grant from their home University. At their arrival, students must have a Learning Agreement duly signed by their Home Institution Coordinator. In order to obtain also the signature of the Coordinator of the UPJPII either on the Learning Agreement or on the Changes to the Learning Agreement, it will be necessary to get in touch directly with Department Coordinators during office hours.

Most lectures are conducted through the medium of Polish. A very small number of courses are offered through the English language only (an offer for Philosophy, Theology and Journalism Students). Good knowledge of Polish is therefore essential. Each incoming Erasmus+ student must be sufficiently proficient in Polish to be able to understand lectures and to be able to work with textbooks written in Polish. Students are requested to check the academic calendar of the host University in advance. Students should plan to be at the HOST University around a week before the classes begin. If there is an orientation program for international students, students are strongly encouraged to attend it. Some universities may make the participation Travel Plans: to the orientation mandatory.

Erasmus Exchange Program Benefits: It should be taken into consideration that the exchange will broaden your academic and cultural horizons, as well as improve the student’s language skills. The student will have a chance to socialize in the international realm and therefore this exchange may be one of the best experiences in a student’s life. The International Office of the Host University will try to help you solve any academic or administrative problem that you may encounter. Don’t hesitate to ask them for help. You can always contact the Erasmus Office via email (erasmus@upjp2.edu.pl) for any questions/ inquiries related to their academic standings.
Suggestions: Search for airfare promotions and make your travel plans early. Notify the CNBiWM/Erasmus Office of the Host University of your arrival and ask if there are any arrangements for the exchange students’ arrival that you need to be aware of in advance.

A few days before returning to their home Country all the incoming students are required to take an appointment with the CNBiWM UPJPII Office for the closing arrangements, such as:
- Collecting the Certificate of attendance and LA-after the mobility part. Please be advised that: the final Transcript of Records and any other original documents will be delivered by the CNBiWM UPJPII Office to the partner University within 5 weeks from the departure date. Useful information, e.g. academic calendar, list of the courses available, classes timetables (if available) and deadlines to complete the online application form will be included in the email, in order to help the incoming students organize their mobility period at UPJPII.
